About the role
We are looking for a reliable, organised and approachable Administrative Assistant to join our Housing with Care (HWC) team at MHA. This is a key role within the scheme, providing essential administrative and secretarial support to ensure services run smoothly and efficiently.
As an Administrative Assistant, you will work closely with the Housing with Care Co-ordinator and wider team, supporting staff, residents and visitors while maintaining accurate records and effective systems. You will help create a welcoming, professional environment and play an important part in supporting high-quality care and services for older people.
What you will do
- Provide comprehensive administrative support, including word processing, filing, and minute-taking.
- Maintain accurate records, produce basic reports, and complete forms as required.
- Process staff timesheets and liaise with Payroll, ensuring rotas are kept up to date on iTrent.
- Administer annual leave entitlements and maintain staff and resident schedules.
- Answer telephone calls and greet visitors, following agreed security and telephone procedures.
- Ensure residents’ Domiciliary Care Contracts are in place and signed before services begin.
- Oversee weekly schedules for residents and staff, ensuring changes are accurately recorded and shared.
- Support meetings by preparing agendas, notices, and minutes, and assist with diary management.
- Maintain administrative systems, update policy manuals, and highlight Health & Safety updates.
- Support recruitment administration where required, promoting equality and a positive image of MHA.
- Attend training, staff meetings, supervisions and appraisals as required.
- Follow safeguarding, infection control, and health & safety policies at all times.
About you
We are looking for someone who is organised, dependable and customer-focused, with a positive and flexible approach to work.
You will bring:
- Previous administrative experience, ideally with at least one year in a similar role.
- Confidence using IT systems including word processing, spreadsheets, databases and email.
- Strong organisational skills with the ability to prioritise tasks and manage time effectively.
- Clear written and verbal communication skills.
- The ability to maintain confidentiality and handle sensitive information appropriately.
- A team-focused attitude with the ability to build positive working relationships.
- Sensitivity to the needs of older people and a willingness to learn and develop.
